spring conference 2019

Welcome equipment vendors, program suppliers and sponsors to the 2019 Spring Conference!

The Basics:

Date: Thursday, May 9 and Friday, May 10, 2019
Exhibitor Registration Fee:  TBD plus a raffle prize valued at $100 retail
Exhibitor Registration deadlines:  Register and pay by Tuesday, March 14, 2019 to ensure your logo is in the mailed print brochure to our large list of prospective attendees. We welcome you to register to exhibit until about 10 days before the conference.

Place: Chula Vista Resort, Wisconsin Dells
Exhibit Hours: 11 am – 6:30 pm Thursday; 9:00 - Noon Friday
Exhibitors Reception: 5 – 6:30 pm Thursday just before the Media Fest Banquet and Show
Exhibitors Raffle:  During the Friday Lunch (Attendees must be present to win!) Exhibitors give away items at a retail value of $100.

The 21st annual Spring Conference is the best way to meet community media professionals from across the Midwest! Every year, equipment retailers and manufacturers, program providers, and other businesses who serve the needs of community media centers come and talk about their products and services with attendees. 

Who comes?  

The conference attracts city employees who are managing cable access channels, city websites, and/or social media outlets, teachers who are providing video production training to high school and college students, and nonprofit community access television staff, who train the public in the use of media.  Low power FM radio station managers and producers also come to the conference.  Typically a quarter of attendees are from out of state.

Exhibitors Reception. We hold a special Exhibitors Reception just prior to the start of our Media Fest Banquet and Show on Thursday.  At this popular event, our Exhibitors are front and center.  You'll meet award-winning video and radio producers while they enjoy complimentary snacks, beer, and soda.

Speak at a Workshop!  Exhibitors also have a great opportunity to be a part of our slate of workshops.  Let us know ASAP if you have a particular topic idea!  The conference program committee meets to set the topics in December and early January.  Attendees can select from two workshop tracks and learn about video production, cable system engineering, cable access management, social media, marketing, legal and regulatory issues, and LPFM radio.   The Exhibitors Fair is based in the ballroom used for our general gatherings, so you are always where the action is! 



What's all included:

Tables - Skirted table charges are included in your registration.  Exhibits are located in the same hall that all meals and general sessions are held.  
Electricity and Internet access - Included. WiFi is available hotel-wide.  
Two meals free: Pick from Thursday lunch, Friday breakfast, or Friday lunch.  You may elect to include the Banquet in your two meals for $TBD. Additional meals can be ordered at our cost.
Your logo in all our printed promotional materials -- our mailed brochure, the Video Fest program, and a one-piece vendor promo sheet in conference attendee folders.
Your clickable logo on our website for one year (with tracking).
Up-to-date contact information for all WCM member centers and conference attendees.
Sponsorship of the Exhibitors Reception:  Open to all conference and banquet attendees. This featured event is held just before the banquet begins in the Exhibit Room.  Attendees enjoy free soda, beer, and appetizers.

What's optional:

Present at one or more of our workshops.  If you have an idea for a workshop, please contact Mary in December or no later than the second week of January to have input into the conference program. We often integrate exhibitors into our workshops and you may get a call in January or February with an invitation to speak.

Give away your raffle prize to a lucky winner at Friday's closing luncheon (or we'll do it for you).

Meal Sponsorships: (open to exhibitors and non-exhibitors) Meal sponsor names are noted in our print materials and announced during the event.  If you are an Exhibitor, your sponsorship entitles you to speak up to five minutes to the group at that meal.  We accept more than one company's sponsorship for each meal.  Sponsor the Thursday Opening Luncheon ($75). Approximately 75 attendees.  Sponsor the Media Fest Banquet ($100).  Approximately 110 attendees.  Sponsor the Friday Breakfast ($50). Approximately 60 attendees.
